Transaction Manager Job Description

Primary Role:

The Transaction Manager is responsible for assisting in the management of the office’s transactions – including the listing, leasing, and contract processes – by ensuring smooth workflow and accurate documentation at each stage. They will be responsible for preparing, organizing, and following up on necessary paperwork while coordinating with agents.

Key Responsibilities:

·       Providing support to agents on transactional management and coordination with title companies and other vendors

·       Collaborating with agents in drafting Letters of Intent, Purchase Sale Agreements and Commercial Leases

·       Supporting agents on listing agreements for agent/client signature and approvals

·       Assisting agents on leases by creating the Lease Cover Page, corresponding invoices and preparing other critical lease documents

·       Assisting agents on contract by drafting the DocuSign document, drafting a Critical Dates Timeline and Property Information Letter for each deal and is responsible for emailing agents with the Receipted Contract, Property Information Letter, Critical Dates Timeline and other critical documentation for client distribution.

·       Supporting agent success through coordinating and preparing materials for property tours, market surveys and client meetings.

Required Skills:

·       Strong organizational skills and attention to detail in a fast-paced environment

·       Proficiency with Google Drive, CRM systems (DASH), and other real estate platforms.

·       Ability to manage multiple tasks simultaneously while meeting deadlines

·       Excellent communication, collaboration and interpersonal skills with agents, clients, and coworkers

·       Critical thinking and proficient in drafting contracts and leases

Qualifications:

·       Prior experience in real estate or administrative roles is preferred

·       Familiarity with listing platforms such as CoStar, CREXI, and LoopNet

·       Ability to handle confidential and time-sensitive information with professionalism

This role is essential for ensuring efficient and timely real estate transactions, from listing to closing, for multiple real estate agents while maintaining high organizational standards.
