GENERAL POSITION DESCRIPTION:
To support and assist the Dean and all departments, programs, faculty, and staff under his supervision. Receives immediate supervision from the Dean, of Workforce & Public Service and exercises no supervision. NOTE: This is a security sensitive position, and an appropriate background investigation will be made on applicants being strongly considered for this position.
MINIMUM QUALIFICATION REQUIREMENTS:
Education: Associate Degree from an accredited college or university. (a minimum of 12 college credits plus relevant work experience may be substituted for required degree) Experience: More than one year of professional work experience in a clerical environment.
Certifications: Microsoft Office Specialist and Google Project Management certificates.
Knowledge of: 1. Office and phone etiquette. 2. Accounting and math in order to prepare faculty salary calculations and projected cost worksheets. 3. THECB course and degree development processes including the ACGM, GIPWE, and WECM. 4. Difference between credit and non-credit courses and degrees. 5. Higher Education organizational structure. 6. Office methods, practices, including filing systems, records maintenance, and letter and report writing. 7. English usage spelling, grammar, and punctuation. 8. Pertinent Federal and state laws, College policies, rules, and regulations. Skills in: 9. Using Ellucian’s Colleague, MS Office Suite, Adobe Acrobat, Informer, Web Browsers, teleconferencing software, and MS Windows operating systems for the purpose of completing projects. 10. Calendar and scheduling management skills to coordinate schedules and meet due dates and deadlines. 11. Math to check expenditures, reconcile travel and monitor budget expenses. 12. Writing skills to create professional correspondence. Ability to: 13. Learn new software and stay abreast of new software applications. 14. Organize and prioritize work to meet deadlines. 15. Communicate clearly and concisely, both orally and in writing. 16. Establish and maintain cooperative working relationships with those contacted in the course work.
Sedentary-Desk work; occasional field trips e.g. for college or program activates. Minimal Hazard/Exposure-Standard office setting. At least minimal environmental controls are in place to assure health and comfort.
