GENERAL POSITION DESCRIPTION:
This position performs and oversees a variety of administrative activities in support of students, faculty, and staff. Applies advanced knowledge of budget administration and control to equipment, facilities and inventory management; specialized record-keeping; and database management. Coordinates and facilitates daily program functions and special events as needed. This position reports to the Director, Emergency Services and exercises no supervision.
NOTE: This is a security sensitive position, and an appropriate background investigation will be made on applicants being strongly considered for this position.
MINIMUM QUALIFICATION REQUIREMENTS:
Education: High School Diploma or GED.
Experience: More than one year of professional work experience in an office environment.
SELECTION CRITERIA:
Knowledge of: 1. Department accreditation rules and regulations. 2. Proper English usage, grammar, spelling, and punctuation. 3. Principles and practices of confidential records management and file maintenance, both physical and electronic. 4. Pertinent Federal, State, and college laws, rules, and regulations. 5. Operating various electronic equipment, such as computers, scanners, copiers, recording devices, etc. 6. Budgeting practices. Skills in: 7. Using Ellucian’s Colleague, MS Office Suite, Adobe Acrobat, Informer, Web Browsers, teleconferencing software, and MS Windows operating systems for the purpose of completing projects. 8. Proficiency with Microsoft applications, internal software, and assistive devices and software. 9. Communicating clearly and concisely, both verbally and in writing. 10. Basic record keeping, correspondence, and proofreading. Ability to: 11. Execute superior customer service when dealing with diverse populations. 12. Create and maintain accurate records and reports. 13. Learn new software quickly and stay abreast of new software applications. 14. Perform responsible and sometimes difficult secretarial work involving independent judgment. 15. Read and follow oral and written instructions. 16. Organize and prioritize projects to meet deadlines. 17. Establish and maintain effective working relationships in the course of work. 18. Maintain confidentiality at all times. 19. Maintain calendars and schedule appointments. 20. Work independently without close supervision using critical thinking skills.
WORKING CONDITIONS: Sedentary-Desk work; occasional field trips e.g. for college or program activates. Minimal Hazard/Exposure-Standard office setting. At least minimal environmental controls are in place to assure health and comfort.
