This position is responsible for supporting the owners to grow business and increase office efficiency in all areas. Day-to-day tasks vary greatly depending on the needs of the business. The person in this position must be flexible to complete other tasks as assigned, and as needed to ensure smooth operation of the business and provide high level of customer satisfaction.
Administration
· Oversee use and function of CRM software
· Track case progress
· Track employee workload
· Implement solutions for efficiency
· Handle employee benefits
· Onboard & train new employees on office policies and procedures
· Offboard employees
· Create and refine training material
· Oversee data and file management and tools
· Work with bookkeeper to troubleshoot Billing issues & manage IOLTA balances
· Oversee company and owner’s company insurance
· Order supplies and keep inventory
· Be familiar with all practice areas so can assist when short staffed or overloaded with work
· Draft and produce print products for client and office use
· Supervise administrative team
· Ensure intake process and client follow ups are being completed
· Investigate stalled cases and brief attorneys on status
· Oversee building maintenance and needs, coordinate with owner & vendors
Marketing
· Create all digital and print advertising
· Oversee company social media
· Attend all marketing events
· Oversee marketing coordinator and planning for GT office
· Stock marketing supplies
· Establish and maintain relationships with local network
· Work with third party companies on projects (Guides, website, sponsorship events)
· Order, organize and deliver gifts to referral sources
· Schedule coffees and networking opportunities for attorneys
· Initiate and schedule speaking opportunities for attorneys to speak to professional and lay groups
· Oversee company website including updates and blogs
