The Executive Officer of the Heart of Texas Builders Association (HOTBA) serves as the chief administrator for the organization and participates in the development of policies as well as makes recommendations to the board regarding policies. Ensures decisions and actions impacting HOTBA are aligned with current policies.   The Executive Officer provides support for the HOTBA board of directors and assists the board president in running the office and the entire HOTBA Association. The Executive Officer plans, organizes, directs and coordinates programs and activities of HOTBA to ensure objectives are accomplished, plans fulfilled, and member needs are met.  The  Executive Officer maintains effective internal and external relationships with all stakeholders of the Association.


Required education and experience:

Bachelor’s Degree (preferred)
Valid Texas Drivers’ License and Personal Auto Insurance Policy

Major Duties and Responsibilities:

Keeps the board president and board of directors informed on the conditions and operations of the Association and all other important factors including but not limited to information involving: City Government, Chamber of Commerce and Industrial Foundation
Recommends policies and procedures for board approval that will further the objectives of the Association. 
Executes all decisions of the board president and board of directors.
Serves as the liaison between the Association committees and the board of directors.
Ensures committee decisions and recommendations are submitted to the President for approval. 
Plans, coordinates, implements, and executes the following events and activities for the Association: Associate Council Activities, Legislative Rally Day (every other year), Home Products Show, Parade of Homes, Annual installation of Officers, New Member Packets and Orientation, Membership Programs (Retention & Recruitment), and Golf Tournament.
Promotes interest and active participation in the Association’s activities on the part of the membership and local/chapter groups, and assists the board president in reporting activities of the Association into the communication media. 
Assists the board president in developing rapport with the Texas Association of Builders and the National Association of Home Builders and serves as a liaison to both. 
Maintains positive relationships with other organizations, both public and private, and sees that the position of the Association and its members is enhanced in accordance with the policies and objectives of the organization.
Responsible for production and distribution of all Association publications. Production includes obtaining and coordinating articles and schedules, etc. 
Ensures the Association directory located on the HOTBA website is updated and maintained and available to members in good standing.
Plans, organizes, and directs membership promotion and retention program, evaluates results and recommends policies, procedures and action to achieve membership goals. (Collects dues and terminates delinquent members.) Works directly with the Membership committee and reports to the membership committee chair and the President.
Develops, recommends in collaboration with the Treasurer and Budget Committee the Association’s annual budget. 
Ensures the Association operates within the board approved budget and ensures all funds, physical assets, and other property of the Association are safeguarded and administered. 
Ensures an external audit of the Association’s finance is conducted annually 
Ensures  tax matters are addressed and completed timely.
Keeps the board president abreast of the condition of the budget including all Association expenses. 
Oversees and manages Association hall rental.
Persorms secretarial function for the Association, maintaining official Minutes of Board of Directors, executive committee, annual meeting of membership, committee meetings and other official meetings of the organizations and as required by the President. 
Maintain and properly store the HOTBA policy handbook to include current and old policies, ByLaws as required by NahB and TAB. 
Handles all correspondence (including phone calls and mailings)
Performs the bookkeeping for the Association, including maintaining books, billing members, and presenting a monthly financial report. 
Attends all regularly scheduled and special meetings. 
Plans,  promotes, and oversees all activities of the organization. 
Plans and executes all communications to the general membership including newsletters, general mailings, etc. 
Assumes authority to recommend and seek approval from the board of directors to hire and/or terminate Association staff.
Carries out other duties and  responsibilities as delegated by the board president. 

Physical demands:

Ability to work in a fast-paced office working environment
Ability to sit or stand for prolonged periods of time
Ability to access and navigate all areas of the work environment
Ability to lift a minimum up to 25 pounds at a time
Ability to physically bend, push, pull, stretch, move hands, wrist and fingers frequently
Ability to work 40 hours per week and frequent extended hours
Ability to use a computer for a long period of time
Ability to use office equipment including copier, printer, fax machine, phone,  

Work authorization/security clearance required:

Must be eligible to work in the United States
